What goes into a strong chatbot prompt

A reliable structure has five parts. Role: who the assistant should act as, such as an experienced copywriter. Context: the situation and the goal. Task: what exactly to produce. Constraints: length, tone, reading level, what to avoid. Format: a table, a bulleted list, three options or a single paragraph.

For example, 'write a cold email' becomes a prompt that names your service, the client type, a friendly but direct tone, a 120-word limit and a subject line plus body as the format. Adding a line that asks the assistant to ask clarifying questions first often saves several rounds of corrections on bigger tasks.

Choosing a prompt style

Detailed prompts are best for important work like cover letters, business plans or long articles, where context matters. Concise prompts suit quick everyday tasks. Step-by-step prompts help with problems that benefit from stages, such as planning a project or debugging. Role-play prompts are useful for practice: interview prep, negotiation rehearsal or learning a subject from a patient tutor.

Getting better answers after the first reply

Treat the first answer as a draft. Ask the chatbot to make it shorter, change the tone or give two alternatives. Paste an example of the style you like and ask it to match. If the answer misses the point, check whether a placeholder was left unfilled or the goal wasn't clear.

Don't paste passwords, private customer data or confidential documents into any chatbot. Check facts, figures and legal or medical information yourself before you rely on them. Ask for sources when accuracy matters.
